Account Information: When you create an account, we collect your name, email address, and role (patient or practitioner).

Profile Information: Depending on your role, we may collect additional details such as date of birth, phone number, address, health metrics (weight, height), specialist credentials, and biography.

Appointment Data: We store appointment schedules, session notes, treatment plans, and related healthcare records created through the platform.

Communications: Messages exchanged between patients and practitioners through our messaging system are stored to maintain continuity of care.

Google Calendar Data: If you choose to connect your Google Calendar, we access your calendar events solely to display scheduling information and prevent appointment conflicts. We request read and write access to your Google Calendar to create, update, and display appointments. We do not access any other Google services or data.

Usage Data: We automatically collect certain information about your device and how you interact with the Service, including IP address, browser type, and pages visited.

3. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the Service
  • Facilitate communication between patients and practitioners
  • Schedule and manage appointments
  • Sync calendar data with Google Calendar (when authorized)
  • Send appointment reminders and service notifications via email
  • Provide AI-powered chatbot assistance for scheduling and health queries
  • Ensure the security and integrity of the platform

4. Google Calendar Integration

Our use of Google Calendar data adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • We only access Google Calendar data that is necessary to provide scheduling features
  • We do not use Google Calendar data for advertising purposes
  • We do not sell Google Calendar data to third parties
  • We do not use Google Calendar data to serve ads, including retargeting or personalized advertising
  • We limit our use of Google Calendar data to providing and improving the scheduling features of our Service
  • You can revoke our access to your Google Calendar at any time through your Google Account settings or through the Olera Health calendar settings page

5. Data Sharing and Disclosure

We do not sell, trade, or rent your personal information to third parties. We may share your information only in the following circumstances:

  • Between patients and practitioners: Health records, appointment data, and messages are shared between connected patients and their authorized practitioners as part of the care relationship
  • Service providers: We use trusted third-party services to operate our platform, including Clerk (authentication), Neon (database hosting), Upstash (real-time messaging), and OpenAI (AI chatbot). These providers only access data necessary to perform their services
  • Legal requirements: We may disclose information if required by law or in response to valid legal processes

6. Data Security

We implement appropriate technical and organizational measures to protect your personal information, including encryption in transit (TLS/SSL), secure authentication via Clerk, and access controls. However, no method of electronic transmission or storage is 100% secure.

7. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Service. If you request account deletion, we will remove your personal data within 30 days, except where we are required to retain it for legal or regulatory purposes.
